This page reproduces Part B – Privacy Policy of the Nexus License Agreement & Privacy Policy that is presented when you install Nexus. The copy shipped with the installer is the authoritative version; this page exists so the current policy is always accessible from the application, as described in section 9.

Nexus is a software application developed by DENSsolutions, located at Informaticalaan 12, Delft, The Netherlands. We act as the data controller responsible for handling your personal data.

2. What Data We Collect and Why
For the sake of clarity we specify two types of data: personal data and scientific data.
Personal Data:
We collect only the personal data necessary to manage your software license, provide relevant updates, and improve our service. This includes information related to your identity, contact details, research field, and software usage. We use this data to:
- Create and manage user accounts
- Verify access and manage licenses
- Provide software updates and relevant communications
- Improve our software based on user feedback and interaction patterns
- Analyze software usage to enhance functionality and user experience
Scientific Data:
Scientific data refers to research-related data that you choose to process or analyze using Nexus. We do not collect, store, or share any scientific data unless explicitly uploaded by you via services outside of Nexus for support purposes. All scientific data remains under your control. Any scientific data shared with us for troubleshooting or support purposes is automatically regarded as confidential unless otherwise stated by the user.
If additional data storage options become available in the future, you will always have control over how your scientific data is stored and whether it remains private or is shared with others.
3. Data Sharing
Your personal data is not shared with external parties. Data is handled within our secure systems or by carefully selected service providers who assist with hosting and security. These providers are bound by data processing agreements and act under our instructions.
Scientific data is never accessed, stored, or shared by us unless you explicitly upload it via services outside of Nexus for support purposes or configure settings that allow its storage or sharing.
4. Data Retention
We retain your personal data as long as your account remains active. Upon account termination, personal data is deleted within the legally required period unless retention is required by law.
Retention Periods:
- Personal data deleted within 30 days after account termination.
- Usage data (see section 8) deleted on a rolling basis after 400 days.
We do not store scientific data and have no access to your research data unless voluntarily uploaded via services outside of Nexus for support purposes or configured for storage under your control.
5. Data Security
We use industry-standard protocols and organizational measures to protect your personal data, including:
- Encrypted passwords, both in transit and at rest
- Secure connections (e.g., HTTPS)
- Role-based access control
Scientific data is never accessed, stored, or shared by us unless you explicitly upload it via services outside of Nexus for support purposes or configure settings that allow its storage or sharing. Any scientific data loaded into Nexus remains fully under your control and cannot be accessed by anyone else.
6. Your Rights
You have the following rights regarding your personal data:
- Access: Request a copy of your data.
- Rectification: Correct any inaccurate or incomplete data.
- Erasure: Request data deletion.
- Portability: Receive your data in a commonly used format.
- Objection: Object to data usage.
7. International Data Transfers
Your personal data is stored within the European Economic Area (EEA). If processed outside the EEA, we ensure appropriate safeguards in accordance with GDPR.
8. Cookies and Usage Data
Our software does not use cookies. Nexus does collect limited usage data to help us understand how the software is used and to improve it: which features are used and how often, together with technical context such as the application version, release channel, and operating system. This usage data contains no scientific or research data, no file names, no file paths, and no free-form text. It is linked to your account so that we can understand usage across users and organizations; it is never sold, and never used for advertising. You can turn usage data collection off at any time from within the application, and doing so does not affect your use of the Software. Retention is described in section 4.
9. Changes to This Policy
We may update this privacy policy periodically. The most recent version is always accessible from the Nexus menu.
